The Schedule – The Space, The Exhibition , The Event

The Space:

Can people understand what your exhibition is aiming to do, how are you going to measure how people interact, how are you going to document this, are you going to speak with them or do a questionnaire, etc.

What gear will we need to record the interaction and to conduct the exhibition, try to think about other groups on the day.

Task 1 – Draw a map of your proposed exhibition and think about outlets, equipment, how loud it will be, the mood you are trying to accommodate, what kind of room you want to use. Do we need a timetable?

Proposed Room’s in Alison House:

The Sound Isolation Room G.11 – just have to turn the lights off and cover the window

Studio 1 – get people to sign up as they walk in and then tell them where it is

Russolo Room

The sound lab – it’s a big room and could have another group in it.

Audience management:

Time tabled sign up system (we will know how long the video is)

One person at a time (it’s a personality test)

Separate teams that conduct the exhibition and then interview/document the experience after.

Could have two exhibitions running at the same time.

Material to block out the light


2 – 3 x Speakers or Headphones

Other team locations/requirement:

West Court

VR Room (two separate dock rooms)

Another team is doing VR but in St. Cecilia’s Hall

3×3 metre cube team

LiDAR Scanner team – Privacy being invaded (sound lab)

Think about what can go wrong?

Test, fix, test.

Project Management

Non-negotiable date for the product – the release date

Then work backwards until present day, include everything for the day, printing, check out, setup, charging for phones/cameras, spreading the word. Give responsibilities to everyone and keep track.

What is the back-up plan?

Task 2 – Plan your timings

Need calendar or something to track what everyone is doing so people don’t end up doing the same things.

Regular meeting every week Monday at 4pm

What do we need to get?

Visuals, Audio, the test, the tablet

Camera on the day recording people using the equipment and interviewing people after.

What could go wrong?

Equipment Failure – have two of each or use equipment that people in the team have.

Room Overbooked – move everything to a close location in Alison House

Trip Hazards – negate any chance of trip hazards with duct tape and lighting

Code doesn’t work on the day – solid coding with vigurours testing, have a contingency plan to just play audio and visuals if the personality test doesn‘t

The Event:

How are you going to advertise the event and make sure people actually turn up to the event and participate.

Use social media, tickets, flyers, posters and other online channels

Inform the audience, where to go, what to do, how to get in, what it will cost, sharing on social media, how are you going to inform the audience?

What will they take away? The experience? Something physical? Documentation? Further conversation and food for thought? Follow a social profile?

What do we give people who are waiting to do the event? Ask the audience which personality characteristic they think they are before they go in.

Task 3 – Communication strategy.

Age of the general audience, their occupation

Facebook event, poster and flyers (submission two), free refreshments, an instruction demo (submission two)

Name the project to give a concise information about the exhibition

Destination, timings, sign ups, how long it will take, sharing personal information, how to document after, what they will take away from it (email people their results).
